Rules and regulations

These Rules and Regulations were designed to define rules of cooperation and help to avoid any misunderstandings and inconveniences that might arise while using the services of the RoomMate Company.

Our aim was to make this document as clear and understandable as possible.
We kindly invite you to read this document and book your apartment online step-by-step.

These Rules and Regulations must be accepted online at the booking stage.

  • One charging day lasts from 4:00 pm to 12:00 am on the next day.
  • Minimum rental period is 2 charging days.
  • If you arrive after 10:00 pm, you will be charged additional PLN 150, while if you arrive between midnight and 7:00 am the additional charge will be PLN 200.

  • advance payment: 30%
  • security deposit: 10% and no less than 200 zł.
  • cleaning,changing towels and bedding : PLN 150
  • changing towels: PLN 30 from PLN 50
  • animals: PLN 20/day
  • smoking: not allowed
  • age: the client must be at least 18 years old and present his/her ID.

Booking and payment conditions


  • Preliminary reservation:

It allows you to check the availability of the apartment you are interested in, to contact RoomMate in order to learn all necessary information, or simply to give you more time to consider your choice.

Preliminary reservation period: 3 hours

Our system will automatically generate a voucher that will be sent to the E–mail address provided at the preliminary reservation stage.

After you make a decision, please confirm your reservation.

  • Confirmed reservation:

Your reservation will be confirmed in our system as soon as the advance payment in the amount of 30% of the total charge is made.

The payment can be made online via PayU or wire-transfer. The bank account number is available under the “Contact” tab.

In the case of wire-transfer, please send us the payment confirmation via e-mail (available on our website).

Our system will automatically generate a voucher that will be sent to the e–mail address provided at the booking stage.

The voucher is deemed an agreement between you and the RoomMate Company, and it shall be binding for both parties.

  • Paymants

The price of your stay is payable at our office at ul. Hoża 27 A/9.
Payments can be made by a credit or payment card, or in cash.
Note: Cash payments can be made only in PLN.

As soon as the price is paid, you will receive a payment confirmation. (receipt or invoice)

You will receive the keys to your apartment after the price is paid. You will also receive all necessary information regarding your stay at the apartment.

Along with the renting charge, you have to pay a returnable security deposit.
The deposit will be returned on the check-out day, provided that no damage or losses are found in the apartment.
The deposit can be paid in cash or by credit card.

  • Private and VAT invoices:

We issue invoices for advance payments and amounts settled at our office.

The invoice will be sent via e-mail or mail with an affixed company seal, as required by the Client.

All prices presented on our website are gross prices and include 8% or 23% VAT, depending on the service rendered.

At a Client’s request, we can issue a pro-forma invoice at any time.

  • Reservation cancellation and changing conditions:

You can change the date of your reservation at any time. Our system will then automatically generate a voucher that will be sent to the e–mail address provided at the booking stage.

While changing your reservation, please check the availability of the chosen apartment.

In you cancel the reservation within at least 7 days before the scheduled arrival date, we will return the whole amount paid.

If you cancel it within at least 3 days before the arrival date, the advance payment will not be returned. Should you pay the whole rental charge, we will return the amount decreased by the advance payment.

If you cancel your reservation within 3 days before arrival, RoomMate will keep the whole amount paid due to a loss caused by the lack of apartment availability for other Clients.

  • Accommodation conditions and responsibility:

The RoomMate Company has been established to provide apartments for rent that ensure the sense of security and high comfort of its Clients. These conditions are mutual, therefore for common good we expect you to observe them.

RoomMate makes all efforts to guarantee a comfortable and pleasant stay at its apartments. It is our obligation to ensure discretion, cleanness and hygiene, as well as provide any information and services ordered by the Client.

Please note, however, that our apartments are private flats and we cannot take responsibility for any inconvenience caused by their owners’ negligence.

The Client is obliged to respect good neighbourhood principles and curfew, and return the apartment in a condition which is not worse than its initial condition.

Thus, we kindly remind you that hosting any parties and having more persons in the apartment than specified on the website and online booking form is not allowed.

The Client shall immediately notify our company or person responsible for keys’ hand-over of any damage or losses identified in the apartment and of any damage done during the stay. The Client shall pay the equivalent of such damage and bear the costs of repair.

RoomMate reserves the right to terminate the agreement with immediate effect and keep all amounts paid as well as the security deposit, if the foregoing rules and regulations are violated.

A charge for a lost key is PLN 90.

In all matters not regulated herein, provisions of the Polish Civil Code shall apply.

When making a reservation on the website www.myroommate.pl, the Lessee agrees to the processing of personal data solely for the booking and complete the duty to register under the provisions of the Act of 29.08.1997 on the protection of personal data. The Client has the right to access their personal data and their updates.
